How to Extract Data from PDFs to Your ERP Using Docparser

Here is how to extract data from PDF documents to your ERP system:

Step 1: Sign up for a trial Docparser account

Start by creating a trial Docparser account. It’s free and you don’t need to enter your credit card information as you sign up. You can use all features with a large amount of free parsing credits.

Step 2: Choose a pre-built Document Parser or build your own

After you create your account, Docparser will ask you to choose from a selection of Document Parsers, each built for a specific type of documents like invoices, purchase orders, bank statements, etc.

If the document you want to parse doesn’t match any of the pre-built Parsers, select the ‘Custom’ Parser. You can build your own Parser with custom Parsing Rules.

Step 3: Import a sample PDF Document

To set up Parsing Rules, you need a sample document. You can import one or several PDF documents in different ways. You can upload it from your computer, connect your storage service provider (Google Drive, Dropbox, OneDrive, etc.), send an email with your document attached, or use our REST API.

Step 4: Create Parsing Rules

Creating Parsing Rules is simple and requires no coding skills. You will find an array of Presets you can use to extract all sorts of data, like dates, names, telephone numbers, transactions, text, tables, etc.

Choose a Preset that is relevant to your PDF document and use tools like data field croppers and column dividers for tables to isolate the data you want. Refine the results with table and text filters until the data can be extracted in the format you want. Repeat the same process for the other data fields in your document until all the data within is ready to be extracted.

Step 5: Check the accuracy of the extracted data

Once Docparser is done parsing your PDF document, check the results in the ‘Documents’ section of your dashboard and see if all the data has been extracted accurately. You can edit your Parsing Rules anytime to refine the results.

Step 6: Export your data to your ERP system

Docparser allows you to send your data directly to any HTTP API endpoint. This includes virtually any ERP system, like NetSuite ERP or Oracle ERP Cloud to mention a few. Likewise, you can send your data directly to an Excel document that is stored in OneDrive.

To send your data to your ERP system, go to ‘Integrations’ and scroll down to ‘Outbound Integrations’. Select the ‘Simple Webhook’ option, type a name, and paste the target URL that corresponds to the appropriate record.
