Automatically Move Data from PDFs to Your ERP System with Docparser
Easily and quickly extract data from PDFs and move it to your ERP system to automate your business processes and save a tremendous amount of time and money.
Manual PDF Processing Costs Time and Money
Using an Enterprise Resource Planning system is great for managing your processes, like billing, purchasing, accounting, inventory management, analytics, etc. – especially if your business is growing. However, moving data from paper or digital documents to your ERP system is a tedious and error-prone process. Employees have to:
- Locate the document
- Open and read the document
- Type and copy/paste the data by hand into the ERP
- Double-check the data
On top of taking countless hours and hindering productivity, manual data entry inevitably leads to human error which affects data quality and decision-making. Moreover, the longer it takes to correct bad data, the more its cost increases.
If you are using an ERP system like SAP ERP, Infor, or Sage ERP, you most likely have faced the challenge of manual data entry. But here’s the good news: you can use automation to extract data from your documents and fully automate business processes.

Automated Data Entry: The Final Piece in the Automation Puzzle
Most business processes, like billing and procurement, have been automated for decades. However, automation requires manual data to be entered manually beforehand. This remains a challenge for countless businesses worldwide since employees must spend countless hours processing documents and typing or copying data. But thanks to the introduction of recent technologies, it is now possible to automate data entry.
Docparser uses Optical Character Recognition (OCR) along with similar technologies to identify and extract data from documents with 100% accuracy – provided that your documents are either machine-readable or scanned in good quality.
Docparser follows instructions called ‘Parsing Rules’ to identify the data you want. Once you set up these Rules, you can extract data from various documents such as:
- Purchase orders
- Bank statements
Sending extracted data to your ERP system will save you a tremendous amount of time and money while also preventing costly human error. Additionally, employees will become more productive as they focus on higher-value tasks.
How to Extract Data from PDFs to Your ERP Using Docparser
Here is how to extract data from PDF documents to your ERP system:
Step 1: Sign up for a trial Docparser account
Start by creating a trial Docparser account. It’s free and you don’t need to enter your credit card information as you sign up. You can use all features with a large amount of free parsing credits.
Step 2: Choose a pre-built Document Parser or build your own
After you create your account, Docparser will ask you to choose from a selection of Document Parsers, each built for a specific type of documents like invoices, purchase orders, bank statements, etc.
If the document you want to parse doesn’t match any of the pre-built Parsers, select the ‘Custom’ Parser. You can build your own Parser with custom Parsing Rules.
Step 3: Import a sample PDF Document
To set up Parsing Rules, you need a sample document. You can import one or several PDF documents in different ways. You can upload it from your computer, connect your storage service provider (Google Drive, Dropbox, OneDrive, etc.), send an email with your document attached, or use our REST API.
Step 4: Create Parsing Rules
Creating Parsing Rules is simple and requires no coding skills. You will find an array of Presets you can use to extract all sorts of data, like dates, names, telephone numbers, transactions, text, tables, etc.
Choose a Preset that is relevant to your PDF document and use tools like data field croppers and column dividers for tables to isolate the data you want. Refine the results with table and text filters until the data can be extracted in the format you want. Repeat the same process for the other data fields in your document until all the data within is ready to be extracted.
The following video shows you how you can create Parsing Rules:
Step 5: Check the accuracy of the extracted data
Once Docparser is done parsing your PDF document, check the results in the ‘Documents’ section of your dashboard and see if all the data has been extracted accurately. You can edit your Parsing Rules anytime to refine the results.
Step 6: Export your data to your ERP system
Docparser allows you to send your data directly to any HTTP API endpoint. This includes virtually any ERP system, like NetSuite ERP or Oracle ERP Cloud to mention a few. Likewise, you can send your data directly to an Excel document that is stored in OneDrive.
To send your data to your ERP system, go to ‘Integrations’ and scroll down to ‘Outbound Integrations’. Select the ‘Simple Webhook’ option, type a name, and paste the target URL that corresponds to the appropriate record.

Tom – Klarhed.com
“We receive some of our purchase orders from customers in a variety of PDF formats and these can be very long and complex to process. We used to have to manually rekey this information from PDFs into Excel for review and importing to our ERP system.
Since implementing Docparser we have been able to set up rules for each customer that quickly extract the order details into Excel in a useful format. Docparser has been invaluable and has reduced the processing time of some orders from many hours down to minutes.
By removing rekeying we have also increased order accuracy and reduced errors. There are other extraction tools available online, but what made Docparser stand out to us was the wide range of extraction rules available to cope with even the most complicated PDF formats.”
