How MATERIALESDEFABRICA Uses Docparser for Invoice Organization

PDFs are an integral part of any business. Whether they’re invoices, purchase orders, bank statements, or bills of lading, businesses need to find a way to automate the processing and organization of the data in those documents.

This is where Docparser comes in. As a cloud-based B2B SaaS, we extract data locked inside of documents our customers send us and can make that data available as a file download, or send it somewhere else on the internet with a webhook.

However, extracting the data is only half the battle for those businesses looking to automate their organization of the documents themselves. Fortunately, another function we support is forwarding of the files elsewhere, like to a cloud drive such as Google Drive, Dropbox, or Box. To do this, we leverage integration platforms like Zapier or Microsoft Power Automate to push these documents into their system.

MATERIALESDEFABRICA.COM is one such business utilizing both use cases we support.

How MATERIALESDEFABRICA.COM Utilizes Docparser,  Zapier, and Google Drive for Automated Invoice Organization

Alejandro García, Marketing Manager of MATERIALESDEFABRICA.COM, writes:

The main use for Docparser is we can forward emails with invoices to different Docparser folders depending on the distributor or manufacturer.

Inside each folder, we design rules to extract the info we need from each invoice. As all invoices from the same manufacturer are the same, just do it once and you have the automation done and you save a lot of hours.

Then with the help of another program, Zapier, we collect the invoices from Docparser and save them with a specific format, taking advantage of the previously parsed info (name, amount, date, order number, invoice number, etc.) and send them to the Drive.

We are pretty happy with the app and how it is working with us. I recommend it to anyone who wants more order in the bills, emails, etc.

In summary:

  1. Emails with invoice PDF attachments are forwarded to Docparser
  2. Docparser’s suite of parsing rules are used to extract the relevant data
  3. Parsed data along with metadata like a download link to the original document is sent to Zapier
  4. Zapier resolves the media_link URL and sends the file to Google Drive
