Does your business receive tons of purchase orders and sales orders by e-mail, fax, telephone or snail mail? No matter if you are dealing with just a handful of orders per week or hundreds each months. Handling those orders manually is time consuming and error prone to say the least. Even worse, purchase orders contain crucial data for your business which you just can’t miss.
Why You Need An Automated Purchase Order System
Not every business has a complex EDI software system set-up with their trading partners. If you find yourself processing purchase orders manually, Docparser is probably a perfect fit for you. Docparser allows you to build your own automated purchase order system by leveraging data trapped inside the documents you already process manually.
Docparser makes it easy to extract data from PDF documents, scanned or even faxed purchase orders. Our data entry automation software is easy to set up and you can streamline your purchase order workflow in just a couple of minutes.
You can plug-in Docparser in your existing process and improve the efficiency purchase order management significantly. Want to extract data from pdf for upload to your POS (Point of Sale), OMS (Order Management System), or to another cloud app? Docparser’s document data capture solution has robust flexibility and reliability.
Purchase Order Automation Doesn’t Need To Be Complicated Or Costly
To get things rolling, simply login to your account and upload your first PDF purchase order or sales order. Whether you are looking to extract a single data point (order number, contact name, etc), or tabular data (table data of items ordered and details), or both, you can easily do this by chaining multiple parsing rules together on the same “parser layout”.
Please see below for an example of a single data point parser rule set-up. We are collecting the phone number from the PO (although you can select just about anything), and are using the default free form selection box to highlight the area with the date, then naming it appropriately for our later needs, (database import, send to accounting, whatever).
Again, you can create many “Single Data Point” parsing rules to extract other singular items on the file. Address, Company Name, City, State, Zip Code, in fixed or variable locations.
In addition to these parsing rules, you can add “Tabular Data” parsing rules. This will allow you to extract all lines which hold crucial data which you need for your automated purchase order system.
This example will extract data from each row, after we manually define the table with the free form selection box, and add in column dividers. To start simply select the “Line Items” option, and proceed as seen in the screencast below.
In conclusion, once you have reviewed your individual parsing rules, and are happy with the results, simply “Download Data”, (for Excel, CSV, JSON or XML) or select “Integrations” from the menu to set-up your first webhook on this parser layout and send your data to one of our integration options to nearly any endpoint.
That’s it! It’s that easy to automate purchase and sales order processing without changing your entire IT setup. Reach out to us if you have any questions or if you simply want to chat about business processes automation.
